Microchips HR Privacy Policy

Microchips HR is provided by Microchips for employees of participating employers. This policy explains how personal information is handled when you use the application.

1. Your employer and your account

Your employer creates and manages your employee account, maintains your employment records, and determines which features and information you can access.

The Company ID you enter connects the application to your employer’s configured HR service. Access to information is controlled by your account permissions.

2. Information processed

Depending on your employer’s configuration and the features you use, Microchips HR processes:

  • Employee identifiers, account details and registered contact information.
  • Employment information, attendance records, leave and other requests.
  • Payslips, loan information and approved performance evaluations.
  • Documents and images submitted with requests, which may contain personal, financial or health information.
  • Request approvals, policy-document opening records and announcement interactions.
  • Device notification identifiers and information needed to manage sign-in sessions and remembered devices.

Some information is supplied by your employer. Other information is provided by you or generated when you use the application.

3. How information is used

Information is used to authenticate your account, display your HR records, process requests and approvals, record attendance, deliver relevant notifications, enforce permissions and maintain account security.

Access to employment information is limited according to your employer’s HR permissions and the services needed to operate the application.

4. Location and attendance

When you manually check in or check out, the application requests your device’s location to validate your employer’s attendance-location rules and process the attendance action.

Microchips HR does not continuously track your attendance location in the background.

You can manage location permission in your device settings. If you deny permission, location-based attendance features may be unavailable.

5. Notifications and SMS

Push notifications are optional. They use Google Firebase Cloud Messaging and, on Apple devices, Apple Push Notification service. Device registration identifiers and their association with your employee account are used to deliver notifications.

Depending on the notification, its content may be visible on your device’s lock screen. You can control notification permission and previews through the application and device settings.

Where SMS verification is enabled, your registered phone number and verification message are processed through your employer’s configured SMS provider, currently OurSMS. An explicitly labelled test-code environment does not verify ownership of your phone number.

6. Remembered sign-in and biometrics

You may choose to remember your account on a device for up to 30 days, with optional face or fingerprint verification.

For this feature, the application stores a random sign-in credential in the operating system’s secure storage rather than saving your account password. The server stores a hash of that credential.

Biometric verification is performed by your device’s operating system. Microchips HR does not receive or store your face or fingerprint templates.

You can remove remembered access through the application’s account controls or by signing out. Access may also be revoked following relevant account or security changes. If you enable remembered sign-in without biometrics, someone who can use your unlocked device may be able to access your account.

7. Information sharing

Information may be accessed by authorised staff of your employer according to their HR responsibilities and permissions.

Service providers may process information needed to operate the application, including hosting, push-notification delivery and SMS delivery where enabled. These providers may process information in countries other than your country of residence.

Information may also be disclosed where required by applicable law or necessary to investigate misuse and protect accounts and systems.

Contact your employer or Microchips for information about the hosting and service-provider arrangements applicable to your organisation.

8. Retention and deletion

Employment records and submitted documents are retained according to your employer’s retention arrangements and applicable employment, payroll, accounting and other legal requirements. Retention periods vary by the type of record and the organisation.

Sign-in sessions, remembered-device records and notification registrations are used to operate and secure the service. Remembered sign-in expires after a maximum of 30 days; this expiry does not mean that related server or audit records are immediately deleted.

Signing out, removing remembered access or uninstalling the application does not delete your employment or payroll records.

To request information about retention, correction or deletion of your records, contact your employer’s HR department. Some information may need to be retained to meet applicable obligations.

9. Your choices and requests

You can manage location and notification permissions in your device settings and control remembered sign-in within the application.

Depending on applicable law, you may have rights to access, correct or request deletion of your personal information, or to object to or restrict certain processing. Contact your employer’s HR department to exercise rights relating to employment records. Requests may require verification of your identity and authority.

10. Security

The application uses HTTPS connections, authenticated access, company-specific routing and permission controls to help protect personal information. Remembered-device credentials use operating-system secure storage.

No system can guarantee absolute security. Keep your device protected and notify your employer promptly if your device or account may have been compromised.

11. Changes to this policy

This policy may be updated to reflect changes to the application or its data-handling practices. The latest version will be available on this page, with the updated date shown above.
